POSITION SUMMARY:

 

Reporting to the Manager, Resources Planning this position provides workforce management scheduling and load balancing requirements for a multi-departmental, 24/7 service delivery organization consisting of 1000 plus employees.  In coordination with the Manager, the Scheduler adjusts and provides recommendations for optimizing scheduling to address client/customer contract requirements, work peaks and valleys, ad-hoc service requirements to maximize service and quality.  Responsible to ensure work is appropriately planned and scoped, and resources are scheduled for optimal utilization to meet internal and external customer requirements.

 

Duties

  • Design, maintain and implement Master Schedules for all job sites as required
  • Maintain and provide all reports as required
  • Ensure all electronic reports are transmitted as per requirements
  • Document all work hours, time differences and employee changes in the online systems to ensure accuracy.
  • Assign new staff and re-assign staff according to site requirements and established procedures
  • In collaboration ensure all vacancies due to any kind of absences are filled by ensuring a constant communication with Human Resources regarding vacancies.
  • Track and submit additional costs of training time and unbillable overtime
  • Assist in tracking and analyzing scheduling trends
  • Maintain communication with all stakeholders within operation.
  • Report non-compliance to company policies, procedures, and or violations within the collective agreement if applicable.
  • Ensure data relevant to employee lateness, illness, or positive feedback received are communicated to the Manager, Resource Planning
  • Ensure that all employee complaints are resolved as quickly as possible or referred to management, HR, or Area Manager
  • Accept temporary work from established Clients on behalf of the Company and ensure that work orders are completed for all such work accepted
  • Coordinate all temporary work as assigned
  • Disseminates duties, post orders to staff when assigning duties.
  • Position may be required to work days/evenings/ nights and weekends as required to meet organizational needs
  • Demonstrated ability to work effectively with employee groups and building partnerships at all levels of the organization

POSITION REQUIREMENTS

 

Education and Experience

  • Must be a High School Graduate and possess a Grade 12 High School Diploma (GED) or acceptable equivalent combination of education and experience sufficient to perform the essential functions of the job, as determined by the company
  • Previous experience as a scheduler/planner or staffing coordinator in a fast-paced 24/7 operational and/or service delivery environment (preferred)
  • Experience in using a database, preferably within a scheduling environment
  • Proven Microsoft Office skills, including Outlook, Word, Excel, PowerPoint, Project, SharePoint)

 

Qualifications

Candidates applying for this position must be:

  • 21 years of age or older;
  • A Canadian Citizen or Landed Immigrant;
  • Have a clear criminal record;
